Chiropractic Power Point Lectures .. E-mail message this week .. Spring and Summer This is the perfect time for a Spring cleaning and some Summer fun. Look around your office and find areas that need work. Brush off cobwebs and tweak some programs to make it right. Išm sure you and you staff can come up with redundancy, poorly implemented programs or protocols that are too time consuming and rarely necessary. Spring cleaning is no longer a luxury and an elective event, for the successful office, it is a necessity. Letšs start at the beginning. When was the last time you heard your front desk CA go through a new patient telephone conversation. Remember that it is impossible to make a first impression a second time. As simple as this may sound, what is acceptable may need some work. Off the cuff scripting may have kept your practice at the present level rather than moving on up the charts. Spend some time this week calling your office from another phone and role playing the script with your front desk person. Tweak, change or leave it alone, what is important is that you decided to review it. Likewise, give a report of findings to your staff. Go through a typical report as if they were new patients. Let them honestly discuss the gaps of information that they now know should have been told, making their job of patient compliance much easier. Next review office forms and content. Objectively, how do they look? Has the well worn copy you copied years ago worn well over the years? It may be time to rewrite it or get a fresh copy. Is the information within your case history still pertinent, or can half the contents be whisked away saving time for the new patient while providing you all you need to know. I know of a chiropractor that asks every new patient to complete four pages of forms. The copies are ragged looking and I doubt if the information could not have been obtained on one page, two sides. Follow this with reviewing other forms that are requested by each patient. Again, tweak, change or leave it alone, what is important is that you decided to review it. To have a fun summer, you must prepare the soil and cultivate it throughout the season. Review last years promotional events and decide which worked and which didnšt. Oh, you didnšt keep copies of what was done last year and never wrote down comments. Maybe now is a good time to begin keeping a journal at the end of each month discussing the good, bad and ugliness of each. What worked what was stagnant and what was a lost cause. Keep copies of new written material used for promotion or practice management, community events, public relations and marketing efforts, variances in patient management whether it be the weather, fees, patient awareness or whatever and note any particular cause and effect that created office movement in any direction. Like minutes taken at a meeting, this becomes a guide year after year. As with any guide, it is a window to the past and a map towards your future. Create it and use it wisely. By the way, if you have nothing to place in the journal at the conclusion of each month, then that is revealing as well .. donšt you think? This summer can be a grand time with new patients, encouraged and well educated maintaining patients and a staff ready to bloom with the season.
