Q: I am a new doctor starting practice but seem to be very unorganized in terms of paperwork - How would you recommend filing the EOB for patients and Explanation of Payments? Also would you recommend making copies of HCFA or just writing it down when they were sent - i am using TGi solutions to run the office and I believe it covers a lot of those answers but I believe having a hard copy would also be great - thanks once again A: Thanks for the e-mail. Remember one basic concept of practice management .. nothing leaves your office pertaining to a patients care without a hard copy placed in their file. If it is a repetitive standard reminder form or card you can make note that these were sent. As far as insurance .. HCFA etc. a hard copy should be placed in their file .. as well as backed up on your computer. As far as an EOB .. not quite sure what your question meant. When an EOB comes in with the insurance check .. keep a copy within the patients file stapled to the copied insurance form. If you keep everything on a computer hard drive .. then be sure to have some form of a back up program such as a Zip drive and back your insurance files every other day .. best as three disks one for M/W/F I recommend you get some free material from Chirostore.
